International shipping space booking is a method of international logistics booking and international freight booking. It is the first step in the international logistics transportation process and directly affects whether goods can reach their destination smoothly and on time.
The following is the basic process of international shipping space booking of our company, Bofeng Logistics.
1. Preparation Before Booking
- Collect Cargo Information: Clarify basic information such as the type, quantity, volume, weight, and whether the goods are dangerous cargo. This information is crucial for selecting the appropriate vessel type and calculating freight charges.
- Determine Port of Origin and Destination Port: Clarify the ports where the goods originate and are destined for.
- Select Shipping Line and Route: Preliminarily select suitable shipping lines and routes based on cargo characteristics, schedule requirements, and budget.
- Prepare Necessary Documents: Including but not limited to commercial invoices, packing lists, and detailed descriptions of the goods. Some special cargo may require additional permits or certificates.
2. Inquiry and Quotation
- Send Inquiry: Submit a rate inquiry request to the shipping line or our company, providing all the necessary cargo and transport information mentioned above.
- Receive Quotation: The shipping line or our company will provide a detailed quotation including route, schedule, and freight charges based on the inquiry information. At this stage, it is necessary to carefully compare different quotes, considering factors such as freight, schedule, service quality, and reliability.
3. Space Reservation
- Submit Booking Application: After confirming acceptance of the quotation, formally submit a booking application to the shipping line or our company. This usually requires filling out a Booking Form, specifying information such as shipper, consignee, notify party, cargo details, and freight payment method.
- Space Confirmation: After reviewing the booking application, the shipping line or its agent will issue a Booking Confirmation / Slot Booking Confirmation, confirming successful booking and informing relevant details, such as the Bill of Lading number and estimated departure date.
4. Submission of Necessary Documents
- Complete Booking Documents: Submit complete and accurate shipping documents according to the shipping line's requirements, including but not limited to commercial invoices, packing lists, cargo declarations, and special documents required by specific countries.
- Apply for Special Requirements: If there are special requirements, such as 14 days of free detention time, specific container types, or letter of credit terms, these need to be stated in advance during the booking process and noted on the booking form.
5. Payment of Related Fees
- Prepay Freight: Partial or full freight may need to be prepaid according to the agreement between both parties. Ensure timely payment to avoid cancellation of the space.
- Confirm Bill of Lading ( 提单 ): After payment, wait for the shipping line or our company to issue the Bill of Lading (B/L), which certifies cargo ownership and the contract of carriage. Ensure it is checked thoroughly for accuracy.
6. Important Notes
- Timeliness: The shipping market fluctuates greatly; rates and space availability may change over time. Lock down space and prices promptly.
- Compliance: Ensure all documents comply with the laws and regulations of the importing and exporting countries and international conventions.
- Communication and Tracking: Maintain good communication with the freight forwarder and shipping line, closely monitor the cargo's status, and promptly handle any unforeseen situations.
- Insurance: Consider purchasing marine cargo insurance to protect against potential losses during transit.
